Files copy problem?

Have been extremely happy with Vista Ultimate except for the most fundamental function - copy & paste of files. 1. It takes much longer to copy and paste as compared to XP. 2. I usually back up complete folder to an external HDD. When I access this folder on the external HDD, I can't nor can I delete them (some folders are ok). To make matter worst, there is no warning as which folder will be inaccessible when I first created them. So making back up copy of folders is more like playing the Russian roulette.
Can someone please advice?
